These terms govern the first stage of any contact with Clara Europe BV: the confidential intake. Full engagement terms are agreed in writing before any engagement begins.

Intake confidentiality
Confidentiality applies from first contact. It does not depend on a signed agreement, and it is not conditional on an engagement following.
What Clara receives
Through the assessment form, Clara receives the operator or company name, your name and role, your email address and, if you provide one, your telephone number, together with the vessel type, fleet size, and any message you choose to include.
How it is handled
- It is held confidentially and used only to respond to your enquiry and to prepare a possible engagement.
- It is not shared with any collective management organisation, broadcaster, rights holder, or other third party.
- It is not used to assess, report on, or initiate any claim against you or your vessels.
- It is not used for marketing, and it is not sold or transferred to anyone.
The fact that you have made an enquiry is itself treated as confidential.
Retention and your rights
Intake records are retained only as long as needed to respond and, where an engagement follows, for the duration of that engagement and any period required by law. You may ask us to delete your intake at any time. How we process personal data, and the rights you have under the GDPR, are set out in full in our privacy policy.
Engagement terms
These intake terms cover the enquiry stage only. Where an engagement follows, its scope, deliverables, fees, and Clara’s remuneration are set out in a written service agreement agreed before work begins.
