What this policy covers
This policy covers personal data processed through this website (principally the confidential intake form) and the limited technical data any web server records. It does not cover personal data processed under a signed service agreement, which is governed by that agreement and its confidentiality framework.
Information we collect
Information you provide. When you submit the intake form, we collect only what you enter:
- Operator / company name
- Your name and role
- Email address and, optionally, telephone number
- Vessel type and fleet size
- Any message you choose to include
Information collected automatically. Like any web server, ours records limited technical data (such as IP address and request time) in its logs for security and to keep the site running. We do not use this data to profile or track you, and we do not combine it with your enquiry to build a marketing profile.
Why we process it, and our legal basis
- To respond to your enquiry and prepare a possible engagement, on the basis of steps taken at your request prior to entering into a contract (Art. 6(1)(b) GDPR).
- To secure and operate the website, on the basis of our legitimate interest in keeping the service available and protected against abuse (Art. 6(1)(f) GDPR).
- To measure site usage in aggregate, through self-hosted, cookieless statistics on our own infrastructure, on the basis of our legitimate interest in operating and improving the site (Art. 6(1)(f) GDPR).
We do not use your data for advertising, and we do not sell or rent it to anyone.
Where it is stored and who can access it
Submissions are stored on EU-hosted infrastructure only. No marketing tools or third-party analytics are involved in this intake. The technical service providers that operate the site’s hosting, network, and mail infrastructure act as processors under GDPR-compliant terms. Your record is reachable only by named Clara staff, under contractual confidentiality.
Visitor statistics
This site measures visits using a self-hosted instance of Matomo running on Clara’s own EU infrastructure. The measurement is cookieless, IP addresses are truncated before storage, and the data never leaves Clara’s server and is never shared with any third party. We use these aggregated statistics only to understand how the site is used. Browser Do Not Track signals are respected.
Cookies
This site uses only strictly necessary cookies required for it to function and for form security. It sets no advertising, analytics, or third-party tracking cookies, so no cookie-consent banner is required for tracking purposes.
How long we keep it
We retain intake submissions only as long as needed to handle your enquiry and, where an engagement follows, for the period required by the resulting agreement and applicable legal or accounting obligations. Where no engagement follows, we delete or anonymise the submission once it is no longer needed. You may ask us to erase your data sooner (see your rights below).
Your rights
Under the GDPR you have the right to:
- Access the personal data we hold about you
- Have inaccurate data corrected
- Have your data erased
- Restrict or object to our processing
- Receive your data in a portable format
- Withdraw consent at any time, where processing is based on consent
